Instant Moments

Great Scott. For one night at the IBABC Trade Show, a corner of the show floor turned into Hill Valley.

Definity and Family Insurance brought a full Back to the Future activation to the Insurance Brokers Association of BC’s annual trade show at the Hyatt Regency Vancouver on Burrard Street, and Instant Moments ran the trade show photo booth at the heart of it: a branded photo booth, themed props, and metallic prints made on site for every broker who stepped through the time tunnel.

The brief: a booth brokers would actually line up for

Trade shows are loud. Every exhibitor has a banner, a bowl of mints and a QR code. Definity and Family Insurance went the other way: a fully themed world that pulled people in from across the room and gave them a reason to stay, play and take something home.

The set: a neon time tunnel by Poshty Decor

Poshty Decor built the showpiece: a neon-lit time tunnel with a DeLorean racing out of it, “Time Travel Ahead” and “Great Things Ahead” signage, a Vancouver skyline under a lightning storm, and both sponsor logos front and centre. Life-size Doc and Marty stood guard, “Save the Clock Tower” flyers hung overhead, and a time-circuits display set the destination date to right now.

Our lane: the photo booth, the props and the prints

We set up our booth facing the tunnel so every photo captured the full set, with a custom IBABC Back to the Future 2026 template framing each shot and the Family Insurance and Definity logos on every print.

Then came the props, written for an insurance crowd:

  • “Where we’re going, we don’t need a deductible.”
  • “Time travel isn’t covered under my policy.”
  • A pink hoverboard, stamped “Inspected & Depreciated.”

Metallic prints: the take-home that stays on the desk

Every guest left with a metallic photo print, printed on the spot. Metallic prints have a deep, high-shine finish that makes neon and lightning pop, and they’re the kind of keepsake that ends up pinned to a cubicle wall or stuck on a fridge. That keeps the sponsor’s name in front of people long after the show closes.

Printed on site in seconds.

Why a themed trade show photo booth works for exhibitors

  • It stops foot traffic. A themed set is visible from across the floor in a way a pull-up banner never is.
  • Every photo is branded. The template carries the sponsors’ logos into every print, share and group chat.
  • The take-home lasts. A metallic print outlives the swag bag.
  • It gives your team a conversation starter. People are already smiling by the time they reach your reps.
  • It fits a hotel ballroom. The whole activation, set and booth, fit into one corner of a ballroom at the Hyatt Regency, with no rigging or major build required from the venue.

Trade show photo booth FAQ

How much does a trade show photo booth cost in Vancouver?

Our photo booth packages start at $750. Trade show and conference activations with a custom branded template, themed props and on-site prints are quoted on your show hours, booth type and add-ons. Send us your show dates and floor space and we will put together a proposal.

Can the photos be branded with our logo?

Yes. Every photo and print carries a custom template with your logo, sponsor logos or event theme, like the IBABC Back to the Future 2026 design with the Family Insurance and Definity logos. Branded backdrops and full booth wraps are also available.

Can you work with our decor or production company?

Absolutely. At IBABC we set up alongside Poshty Decor, who built the set, while we ran the booth, props and printing. We are used to fitting into a bigger activation and coordinating load-in with other vendors.

What take-homes can guests get?

Metallic prints like the ones at IBABC, classic photo prints, custom photo magnets and photo keychains, all made on site, plus instant digital sharing so photos land on guests’ phones right away.

Do you set up in hotel ballrooms and conference venues?

Yes. We regularly set up in downtown Vancouver hotels and event venues across the Lower Mainland, and our booths fit inside a standard trade show footprint.
